Sharing and restricting access to videos in Microsoft Stream (Classic)

Microsoft is retiring Stream (Classic)

Please upload any new videos to the Stream (on Sharepoint) Learning & Teaching Video Repository.

Videos are initially only viewable by the owner until a viewing permission is assigned.

Videos in MS Stream:

  • Can be accessed by anyone in the University 
  • Can be restricted to specific individuals or class/module groups 


How to share videos

Make your video public

Videos can be made visible to all University staff and students  (with access to Stream) by assigning the Allow everyone in your company to view this video.

This is will make the video listed in the Stream Portal and allows it to be embedded within a Myplace resource.

Share with your students

When you have finished recording your video in MS Stream, you’ll need to set the permissions on the video so that only the students in your class/module can see it. 

Find your class/module code 

 MS Stream uses a unique code for each class/module to make sure the video can be seen by the right group of students. Your unique module code will look like this:   

 DCAD-21-22 ZZ123-1-1 This is a Test Class – 123456 
(DCAD + Academic Year + Module code + Module title + unique identifier) 


To find your unique module code, visit:

You may need to login in with your university username and password. 

  1. Use the search box to search for your module code or title. 
  2. Select the name of the module from the list of search results.   
  3. Highlight and copy the entire code in the title (Right Click > Copy or CTRL+C)

Make the video available to your class / module 

  1. Go to MS Stream and login with your university username and password 
  2. Find the video you want to share with your class (My content > Videos)



  3. From the More Actions menu (…) select Update Video Details



  4. Untick Allow everyone in your company to view this video and confirm. 
  5. Paste (right click > paste or ctrl-v) the unique module code into the box next to People and click the search icon (magnifying glass).  Select the module code. 

    You should see the module code appear in the list of Permissions in the middle of the screen. 

    You can add more than one code if you want to make the video available to more than one class/module.

  6.  Click Apply at the top of the screen to save the permission

You can now embed or link to the video from your Myplace site as you usually would.  Only students enrolled in the class/module will be able to view the video. 

Share with specific people

By adding a Share with People permission, a video can be made viewable by specified individuals. 

The Allow everyone in your company to view this video permission may still apply, so must be removed if only the specified individuals should be allowed to view the video.

This will make the video appear in the Stream Portal for the specified users, the video can be embedded in Myplace but will only be viewable by the users specified.

Share with a channel

Sharing with a Channel will cause the video to be listed on the specified channel page, for instance a class's Channel.

This is recommended for collating all of your videos for a class together under a single channel page for that class.

Share with groups

Creation and management of groups is not currently available, nor is any facility for the automated population of groups with members (i.e. students on a class code).

This will allow you to select a group that you can contribute to and the video will be visible to all members of the specified groups.
