Remote scribe setup for Myplace exams

A Scribe is a practical helper who responds to instructions, writes down answers, and draws diagrams exactly as they are dictated. With Myplace it’s possible for students to work remotely with a scribe during exams. The scribe can log in as the student and share their screen via a video call.

Before setting up the student to work with a scribe during an exam, please make sure you read the University’s guidelines for working with a scribe.

Preparation checklist

Please give yourself plenty of time before the exam to make sure that the setup is working as expected and that and all parts involved are familiar with what to expect and know what to do.

The Myplace support team will need to verify that the scribe is given the correct set of permissions, please follow the guide below to prepare your request.

Inform the student

Please share the guidelines for working with a scribe with the student and explain that the scribe will login as them to complete a quiz or other task in Myplace and that they will not need to share their login details. The scribe will simply use their own login details to login as the student during the exam.

Never ask a student to share their login details.

Identify a trusted member of staff that will act as a scribe

The scribe should be a member of staff who is familiar with the subject and is able to understand complex answers.

The member of staff will be granted permission to log in as other users, it is important that they are a trusted person and they are aware of any privacy concerns.

Raise a request to Myplace support

Please raise a service request in Myplace support to request the scribe the setup, you will need the following items:

Date and time of the exam
Name and link to the class site (or to the activity when possible)
Details of the person identified as a scribe (name, email, username)
Details of the student (name, email)
A description of how the exam will work (for example, the scribe will login as the student, share screen and complete a quiz)

Run a practice session

Once the scribe profile is ready, we recommend running a practice session with the student. This can be done by setting up a test quiz (or other item) with a representative question to be completed and marked.

A practice run will allow you to catch any unexpected issues and make the experience less stressful by making sure that that the setup is working as expected. It is also an opportunity for the participants to familiarise themselves with what they are required to do on the day of the exam.

 Instructions

As the scribe, please follow these instructions to login as the student and complete their tasks.

  1. Go to the class and select the participants list from the navigation menu.

  2. Find the student from the list and click on their name to open the student profile.

  3. In the student profile page, go to the Administration section and select “Login as“

  4. Select continue to acknowledge the warning notice and proceed.

  5. You are now logged in as the student and can proceed with the exam.

What happens next

Once the exam is completed, the scribe can simply logout from Myplace to return to their profile.

The student’s logs will show the name of the scribe as well as the student's name. If the student’s task was to complete a quiz, their answers are recorded as normal.
