This page describes the two main screens used in the marks return system - the admin page and the class return page - and what the features and functions of those screens are.
The Marks Return system has two main pages: the admin page and the class return page.
The admin page contains information about all existing (previously-started) returns for the classes that the user has access to, including returns started by other people (see Managing Returns). New class returns can also be started from here.
The class return page shows the students who are registered for the class, and is where marks are entered.
The admin page
Search Bar
The Search Bar allows searching for an existing Marks Return for a select class, as well as filtering existing returns according to whether they are active or transferred to the student records system.
In orange is shown the bar, in which a text search can be performed. It is recommended that you use the textbox to always check for an existing return, before starting a new one.
In green is the first filter that can be applied. The options from the drop-down menu are Active/Inactive. Active returns are those, for which the exam board has not yet passed or that contain students, for which the exam board has not yet passed, thus enabling the option for editing and marks return. Inactive returns are those, for which no marks can be returned or edited. This could be a result of all students receiving marks or all scheduled exam board dates having passed.
In yellow is shown the second filtering option, which concerns whether a Marks Return has been Transferred to student records. The options from the drop-down menu are Transferred/Not Transferred. This filter is useful in situations, where you wish to check whether there are changes made in the Marks return system, which remain to be transferred to the student record system.
Class Code Column
The Class Code column allows you to view all the classes, for which a return has been started. Each Marks Return is represented on one row. Therefore, you might find multiple rows with the same class code, however with different return titles and other characteristics.
Return Title
The Return Title column shows the title of the returns.
Active Column
The Active column shows whether a return is active or inactive.
Transferred Column
The Transferred column shows if a return has been transferred to student records or not.
Mark returns can be saved, with a copy remaining on the Marks Return system for editing at a later date. The system also allows for the returns to be sent on multiple stages.
It is recommended that you check that all your returns are transferred to the student records system once you are completed with the process of entering marks in the system.
Last Updated Column
The Last updated column shows the date and time of the last update of a given marks return.
Last Modified by Column
The Last modified by column shows the identity of the Marks Return Administrator that last updated a given marks return.
Actions Column
In the Actions column, there are four options available for a given marks return: View, Edit, Version History and Transfer History.
View opens the marks return and allows viewing. This screen is suitable for error-proofing as the view shows the marks return record, but does not allow for any edits to be made.
Edit opens the mark return and enables editing capabilities. This button will take you to the Class Return Page.
Version History opens a record of the version history of the marks return record, where you can view the changes made at various stages of its completion, as well as when and by whom the chanes were completed.
Transfer History opens a record of the transfer history of the marks return record, where you can view the instances when marks have been transferred to the student records system.
Pages
As the number of mark returns grows, the list will become paginated. You can access different pages by clicking on the numbers that appear on the top or bottom of the page.
Start a new Marks Return Section
The Start a new Marks Return section allows you to choose the class code that you wish to start a new return for and add a new return.
The Class Code drop-down menu will only contain the class codes of classes, for which you have been given a Marks Return Administrator role by the Course Administrator in Pegasus.
If you have this role already, your permissions should be transferred automatically to the new Marks Return system and no additional action is expected.
The class return page
Return Title
The Return Title box is where you can enter the title of the marks return.
It is recommended that a naming convention is agreed on a departmental or faculty level accross the univeristy. This will allow for a clear understanding amongst marks return administrators accross departments of the nature of the return, simply by browsing the admin page.
Filter Tab
The filter tab allows you to filter through the students that are registered for the class on the basis of various characteristics: by name, by group or by return status.
In green on the left is shown the text search bar, which can be used to search for a student by name.
The search bar is case sensitive. If you are not finding a student, try capitalising the first letter of their surname for better results.
In yellow is shown the filter by group tool, which allows you to select a group criteria, based on which students will be displayed.
This tool pulls the groups created in the corresponding MyPlace class. To view how to set-up groups in MyPlace, please read the Auto-creating Groups and a Grouping and Manually Creating a Group and Adding it to a Grouping support articles.
In orange is shown the filter by return status tool, which allows you to filter students based on whether they have had a mark returned already or they are yet to have one returned.
Based on the filters applied, on the far right (next to the search and filter boxes), you will be able to see the number of students that the system will display.
Last name/ First name Column
The Last name/ First name column contains information about all the students registered for the course with Student Business.
The list might differ with that of students that are enrolled on the MyPlace site for the course. This will be an indication that there are students, who are enrolled on the site, but are not registered with Student Business. Such students cannot be added to the Marks Return system manually. They can only be registered by Student Business.
Registration no Column
The Registration no column shows the registration number for each student.
Cut-off date Column
The Cut-off date column shows the cut-off for entering marks for each student. The cut-off date indicates that an exam board is set-up for receving the student's marks for this class.
You may notice that some students have a cut-off date set-up, whereas others do not. That is because in a given class, there may be students that are from different programmes, thus have an exam board set-up for a different date or do not yet have one set-up.
You can still give such students marks and send them to the student record system. The marks will be stored and will be presented to the relevant exam board, once one is scheduled.
Technically, marks can be entered and ammended up to three hours before the cut-off date. However, according to the practices and procedures of various departments, ammendments of such nature (i.e. last minute) would require sign-off from the relevant departmental authority.
Once the cut-off date has passed, the corresponding space for each student in the Final Mark column (which is used to host the entered marks/mark codes) will be replaced with a 
(padlock) symbol. This means that the system can no longer accept any changes to the marks for this student.
Final Mark Column
The Final Mark column is where marks and mark codes can be entered.
In yellow is the marks column, where numeric marks can be entered.
In green is the mark codes column, in which a mark code can be chosen, depending on the student's mitigating circumstances.
The mark codes drop-down menu only allows four codes to be entered:
- ABS - Absent
- EN - Extension
- EX - Exemption
- FO - Fail Overall
The use of these varies accross the university, depending on the assessment regimes applied accross various faculties.
The system does error-checking, before saving the entered marks and mark codes. For example, if an invalid mark is entered (i.e. 110) the system will reject this entry, providing a reason why in the space next to the entered mark on the right. Additionally, if an invalid mark+mark code combination is entered (e.g. no numeric mark entered, combined with the EX code), the system will flag this up for review in a similar fashion.
Return Status Column
The Return Status column shows the status of the return.
There are three statuses that can be observed:
- Outstanding - this status is illustrated with a
(warning) symbol. It shows that mark or mark codes have been entered, which have not been saved or transferred to student records; - Processing - this status is illustrated with a
(loading) symbol. It shows that the request to save or send marks is being processed by the Marks Return system; - Completed - this status is illustrated with a
(tick) symbol. It shows that the request to save or send marks has been processed successfully by the Marks Return system.
Options Tab
The Options tab shows a list of actions that can be performed in relation to the marks return for the opened class.
This tab will only become available once you have given your marks return a title. Before doing so, you will only be able to view the Save and Close options.
Save allows you to save your work, without sending it to the student records system.
Close will close the return and take you back to the Admin page.
Import allows you to upload a .CSV file, from which marks and mark codes can be pulled through. Export allows you to export an empty .CSV file, which contains information about all the students in the class, as they are listed in the Marks Return system. Settings allows you to pull marks for the MyPlace Gradebook. For further guidance, please read the Pulling marks from the gradebook article.
Transfer to student records allows you to send the marks to the Student Records system.
