How to release marks and feedback

You can use the “Release marks and feedback“ tool in Myplace to release marks and feedback to students. The tool also allows you to troubleshoot the visibility of grades after release.

Releasing marks and feedback using the Myplace tool is easy, and you can choose to make releases for the entire module, by student or by group.

Using the tool has many advantages over releasing marks by updating the Moodle grade visibility settings:

  • It's guided and easier.

  • A record is created for the release and becomes available in the report.

  • You have the option to notify students as part of the release.

Get your activity ready for release

Please make sure that the grade item is hidden in the gradebook before using the tool.

When using the tool, certain conditions must be met for you to release marks and feedback to students. The tool gives you a warning if these conditions are missing, and it will guide you through the steps to take to get things ready for release. You may find a warning if the grade item is within a hidden category, anonymous marking is in effect, or the activity is not visible to students.

Always ensure that you have authorisation to release marks and feedback before making changes to the activity and gradebook settings.

 Instructions

Please follow these simple steps to release marks and feedback to students:

  1. Go to the “Release marks and feedback tool”.

  2. Check if your marks are ready for release.

  3. Select if you want to release marks to the entire module, or to some students or groups only.

  4. Choose if you want to notify your students and confirm.

 

Step 1 - Go to the Release marks and feedback tool

In your assignment page, you can find the “Release marks and feedback“ tool in the Administration panel, under the the “Assignment administration menu“.

You can only access the tool if you have enough permissions to make changes to the grade visibility. Please speak to your line manager if you think you should be able to use the tool.

The Release marks and feedback tool is located in the Administration block under the Assignment Administration menu where the settings. permissions and logs are also listed.

 

Step 2 - Check if your marks are ready for release

If the marks are ready for release, the tool will display a list of all the checks that are passing. Please review these carefully to make sure that you are not accidentally releasing marks to students. The list will display a warning for hidden grade items, you can ignore this as it will be revealed as part of the release.

You will only be able to proceed if your marks are ready for release. Please follow the instructions provided by the tool to get your assignment ready for release.

 

Step 3 - Select how you want to release marks

You can use the dropdown to choose to release marks and feedback to the entire module (by class), or to limit the release to single students (by user) or to single groups (by group).

Please note that the page will refresh when you make a selection.

The Release and troubleshoot heading followed by the select input to choose the mode of release. The options are Class, User, Group.

Release marks to the entire module

If you want to release marks and feedback to the entire module, simply select the “Class” mode and then select “Release all marks”.

When the release mode is set to Class, the tool displays the status of the release and the Release all button .

Release marks to single students

You can release marks and feedback to one or more students by selecting “User“.

In user mode, the tool shows the list of all students. For each student listed, you can see their details and expand for more information about the state of the release.

To release the marks for a single student, you can use the “Release“ button within the student’s listing. To select one or more students, you can tick the checkbox for each student and then select the “Release selected users“ button.

In user release mode the tool displays the list of students. Each student listed can be selected using a checkbox near the name of the student. The list item also includes email, registration number, a button to release the marks or details of when the mark was release. The list item is expandable via a show more link.

Release marks to single groups

Similarly to releasing by student, you can select “Group“ to switch to group mode and release marks and feedback to all students within one or more groups. You can select “Show more“ to expand the group and see the details of its members.

To release the marks for a single group, you can use the “Release“ button within the group’s listing. To select one or more groups, you can tick the checkbox for each group and then select the “Release selected groups“ button.

In group release mode the tool displays the list of groups. Each group listed can be selected using a checkbox near the name of the group. The list item also includes email, registration number, a button to release the marks or details of when the mark was releases. The list item is expandable via a show more link.

Step 4 - Choose if you want to notify students and confirm

After selecting to release marks, a confirmation page will give you the opportunity to check your selection before finalising the release.

From the confirmation page, you have the option to notify students. If you select to do so, a notice will be sent to all students whose marks are being released.

Once you are happy with your choice, hit “Confirm” to finalise your release.

Once your release is complete, it will be listed in the reports.

The confirmation page shows a note to warn that you need authorisation before proceeding. The page lists the items that you have selected for release. A checkbox with labelled Send notifications must be checked if you wan to send notifications to students. You can then confirm or cancel.

What happens next

Once the marks and feedback are released, the tool will display the date and time of the release in the user and group mode panel. All releases are listed in the reports.
